LETTER PERFECT by Toni Greathouse

Nothing spells failure like a bad business letter.  In business letters you  have 10 seconds to capture someone's attention which translates to about one-sixth of a page.  To compose captivating letters use the following hints which are extremely useful.
DECIDE ON YOUR PURPOSE - Ask yourself what you hope to accomplish by writing the letter.  What actions do you want from the reader?
PICTURE YOUR CUSTOMER - Tailor your wording to your customers' specific needs, be they age, gender or culture.
DECIDE WHAT YOU ARE REALLY SELLING - One way to accomplish this is to have several readers review your letter during the composition stage and reiterate the meaning of your letter.
CREATE A STRONG OPENING - Any good piece of literature has a killer lead.  You must grab the attention of the reader.  To this end you can use a question as the first sentence because it forces the reader to concentrate on the subject at hand.
OVERCOME POTENTIAL OBJECTIONS - Try to address questions you think the customer might ask.  Don't confuse this with suggesting possible concerns.  Always accentuate the positive.
MAKE YOUR LETTERS EASY TO READ - Beyond composition, the font and type size are important.  Adhere to standard letter formats.  Avoid lengthy paragraphs.
EDIT SEVERAL TIMES - Always spell check your letters.  Read through several times for accuracy and ease of understanding.  Let your letters "cool" between drafts and avoid writing response letters in a hurry.
If you adhere to these tips, writing sterling business letters is only a word away.
